Position Summary USS is seeking a highly motivated and organized individual to serve as the Volunteer Executive Assistant to the Founder/President & CEO. This critical role will provide direct administrative and operational support to the CEO, helping to advance USS’s mission and vision. The ideal candidate is professional, reliable, detail-oriented, and possesses exceptional communication and multitasking skills. This volunteer role is an excellent opportunity for someone passionate about nonprofit work and looking to grow with the organization. It has the potential to transition into a paid position in the future. Key Responsibilities Administrative Support Manage the CEO’s calendar, schedule appointments, and coordinate meetings. Draft, proofread, and prepare correspondence, presentations, and reports. Assist with managing email communications and responding to inquiries on behalf of the CEO. Operational Support Maintain organizational records, files, and documentation. Coordinate travel arrangements and logistics for meetings, conferences, and events. Attend meetings and take minutes as needed. Program & Event Coordination Support the execution of USS programs and events by coordinating logistics and communicating with stakeholders. Assist in organizing fundraising activities and outreach initiatives. Relationship Management Serve as a point of contact for internal and external stakeholders, maintaining professionalism and confidentiality. Build strong relationships with partners, donors, and volunteers on behalf of the CEO. Other Duties as Assigned Collaborate with the CEO on special projects and organizational priorities. Qualifications Required Passion for the mission and vision of USS. Proven administrative or executive assistant experience (volunteer or professional). Exceptional organizational and time-management skills. Strong written and verbal communication skills. Ability to handle sensitive information with confidentiality and professionalism. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Reliable transportation (personal vehicle required). Ability to commit at least 10-15 hours per week. Preferred Previous experience working in the nonprofit sector or supporting executive leadership. Familiarity with project management tools or CRM platforms. Key Responsibilities Grant Research & Writing Research and identify grant opportunities that align with USS’s mission and programs. Grant Submission & Follow-Up Ensure timely submission of grant applications and related documentation. Excellent attention to detail, organizational, and time-management skills. Ability to work independently and meet deadlines. Preferred Previous experience working with nonprofits or fundraising teams. Familiarity with grant databases and fundraising tools. Knowledge of program evaluation and metrics reporting. Commitment 8-12 hours per week, with flexibility based on deadlines and workload. Willingness to participate in occasional virtual or in-person meetings.
