About the Hailey Bankhead Foundation: The Hailey Bankhead Foundation is a non-profit organization dedicated to supporting children affected by childhood cancer. We host various events throughout the year to raise awareness, provide support, and fund programs for these children and their families. Position Overview: The Event Planner Assistant will work closely with the Event Planning team to support the planning and execution of the Foundation’s events. This position is primarily remote, with some in-person responsibilities on event days. The ideal candidate will have excellent organizational and communication skills, as well as experience in coordinating events. Key Responsibilities: Assist the Event Planning team in the development of event timelines, schedules, and logistics. Create and/or place orders for event materials, such as flyers, decorations, and supplies. Contact and coordinate with vendors to ensure timely delivery of goods and services. Ensure smooth execution of events by coordinating schedules and managing day-of logistics. Collaborate with the Social Media team to provide event information and promotional materials, ensuring all materials are approved by the CEO, Heather Bankhead, prior to release. Attend planning meetings via Zoom and participate in, in-person activities on designated event days. Qualifications: Experience in event planning or project management is preferred. Strong communication and organizational skills. Ability to work collaboratively in a team-oriented environment. Comfortable with remote work and proficient in using online collaboration tools (Zoom, Google Drive, etc.). Flexibility to attend in-person events on select days throughout the year. Passion for non-profit work and a commitment to supporting children and families affected by childhood cancer. Position Overview: The Graphic Designer will create digital flyers and promotional materials for the Foundation’s events and campaigns. This is a remote position, and the ideal candidate will have experience in graphic design with a focus on creating professional, eye-catching visuals for non-profit events and initiatives. Key Responsibilities: Design digital flyers and promotional materials for upcoming events, fundraisers, and campaigns. Ensure all designs align with the Foundation’s branding and mission. Collaborate with the Event Planning team to understand the design needs and event details. Deliver high-quality designs in a timely manner, meeting event deadlines. Revise designs based on feedback from the team and final approval from the CEO, Heather Bankhead. Work remotely with flexible deadlines depending on event schedules. Qualifications: Proven experience in graphic design, with a portfolio of past work (flyers, promotional materials, etc.). Proficiency in design software such as Adobe Creative Suite (Photoshop, Illustrator) or other graphic design tools. Strong attention to detail and creativity in developing visually appealing and professional designs. Ability to work independently in a remote environment while meeting deadlines. Experience working with non-profits or event promotion is a plus, but not required. Passion for the mission of supporting children and families affected by childhood cancer. The Project Manager/Administrator plays a key role in driving the success of our nonprofit’s initiatives. This individual will work closely with the Strategic Planning Committee to ensure projects are planned, executed, and completed on time and within budget. The ideal candidate will be highly organized, proactive, and have a passion for nonprofit work. Key Responsibilities: Document and coordinate project timelines, resources, and deliverables for the committee. Attend meetings, prepare agendas, document minutes, and follow up on action items as needed. Collaborate with the Board of Directors and other staff as needed. Develop and maintain accurate documentation, including project plans, reports, and performance metrics. Communicate potential risks and project de-railers to committee chair and co-chair to ensure projects stay on track.
