Time Of Butterflies is seeking a volunteer who is able to assist the executive director with tasks. The Executive Assistant will provide high-level administrative support to the Executive Director and other senior staff. Supervisory Responsibilities: May recruit, interview, hire, and train junior administrative staff in the department. Responsibilities: Provides high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff. Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff. Arranges travel and accommodations for executives. Schedules and attends meetings on behalf of executives, taking notes and recording minutes. Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff. Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping. Performs additional duties as assigned by executives. Performs other related duties as assigned. Required Skills and Abilities: Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Ability to function well in a high-paced and at times stressful environment. Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. Able to type minimum of 50 words per minute. Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

They should be able to clearly communicate in both written and verbal communication, especially in grant proposals. The responsibilities are: Study and understand the history, structure, objectives, programs, and financial needs of the organization Research grant opportunities from government and non-government agencies Draft grant proposals and supporting documents based on the funding requirement of the organization Submit proposals to grant coordinators for approval Maintain positive relationships with fund providers and other stakeholders Maintain records and submit related grant opportunities Supporting with fundraisers as needed

Time Of Butterflies are seeking individuals who will be interested in joining our board of directors. The final decision will be determined through an interview process. To add order and process, every board should support the following positions, regardless of board size or type: President- responsible for leading the board and facilitating meetings Vice President- acts as the board president's understudy and second in command Secretary- responsible for official communications with board member and recording meetings Treasurer- oversees all matters related to the organization's finances, property, and budget For these roles we are currently not seeking anyone but we are seeking individuals to join committees within the board. Our committees are, Programming/Clinical committee, Marketing committee, and Finance/Fundraising committee. Since it's impossible to do a job well if you don't know what the job is, all boards must take the time to ensure that every board member fully understands what's expected and needed of them, and then hold all members accountable. Basic Board Member Duties: This starts with an understanding of the fundamental legal duties of each individual board member, which include: Duty of Care- Each board member has a legal responsibility to participate actively in making decisions on behalf of Time Of Butterflies and to exercise their best judgment while doing so. Duty of Loyalty- Each board member must put the interests of Time Of Butterflies before their personal and professional interests when acting on behalf of Time Of Butterflies in a decision-making capacity. Time Of Butterflies needs come first. Duty of Obedience- Board members bear the legal responsibility of ensuring that the organization complies with the applicable federal, state, and local laws and adheres to its mission. But these are just the starting point, as boards have responsibilities that go far beyond these three legal duties.
