The Administrative & Executive Assistant with Program Management support will work closely with the Executive Director and other team members to assist in the day-to-day administrative tasks that keep the nonprofit running smoothly. This role will involve a combination of administrative support and assistance with program management to help advance the mission of the organization. The ideal candidate will have prior experience in nonprofit administration, a strong passion for animal welfare, and an interest in developing programs that support dog rescue efforts.
Administrative Support:- Provide administrative support to the Executive Director
- Maintain organized records, files, and databases related to donor information, volunteer management, and program outcomes.
- Assist with data entry and tracking important metrics for fundraising, adoption, and program success.
- Assist in the planning, implementation, and tracking of ongoing programs, including rescue operations, adoption events, and community outreach initiatives.
- Coordinate with volunteers and partners to ensure the smooth operation of rescue programs.
- Track program outcomes, assist with reports, and suggest process improvements.
- Provide logistical support for fundraising events, adoption drives, and outreach campaigns.
- Help create and update content for the organization's website, social media accounts, and newsletters.
- Assist with donor communications, thank-you notes, and donation acknowledgements.
- Support the organization’s marketing efforts by helping to craft messages that raise awareness about adoption and fundraising needs.
Experience:
- 2+ years of experience in an administrative or executive assistant role, preferably within a nonprofit organization.
- Experience working with dog rescues, animal shelters, or animal welfare organizations is preferred but not required
- Experience in program management or coordination is a plus.
Skills:
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Gmail).
- Comfortable using project management tools (e.g., Asana) or willing to learn.
- Ability to work independently and manage time effectively in a remote work environment.
- Detail-oriented, proactive, and able to problem-solve.
- Knowledge of nonprofit fundraising and donor relations is a plus.
