Position Overview:
The Board Secretary plays a crucial role in supporting the governance and administrative functions of the Board of Directors for We W.I.L.L. Thru Sports. This volunteer position requires a detail-oriented individual with strong organizational and communication skills. The Secretary will be responsible for maintaining accurate records, managing meeting logistics, and ensuring compliance with regulatory requirements.

Key Responsibilities

1. **Record Keeping:**
- Prepare and distribute meeting agendas, minutes, and other documents for board meetings.
- Ensure that minutes accurately reflect discussions and decisions made during meetings.
- Maintain an organized repository of board documents, including bylaws, policies, and other important records.

2. **Meeting Coordination:**
- Schedule board meetings and send calendar invites to board members.
- Collaborate with the Board Chair to set meeting agendas.
- Ensure that all necessary materials are prepared and distributed prior to meetings.

3. Communication:
- Serve as a liaison between board members and staff/committees to facilitate effective communication.
- Respond to inquiries and requests for information from board members.

4. Compliance and Governance:
- Assist in ensuring that the organization adheres to its bylaws and relevant laws/regulations.
- Maintain records needed for compliance with state and federal regulations, including maintaining an up-to-date list of board members and their contact information.

5. Support Board Leadership:
- Provide support to the Board Chair and other officers as needed.
- Assist in the onboarding and orientation of new board members.

6. **Additional Duties:**
- Attend all board meetings and participate actively in discussions.
- Contribute to the development of board policies and procedures.
- Assist with navigating donor management system i.e schedule emails and undersand automation process

Qualifications:

-Passion for being a part of a growing non-profit on a mission help young people live healthier lives

-Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Familiarity with non-profit governance and operations is a plus.
- Commitment to the mission and values of We W.I.L.L. Thru Sports
- Proficient in using office software (e.g., Microsoft Office, Google Workspace) and online collaboration tools.

Time Commitment:
The Board Secretary is expected to commit approximately 10-15 hours a month for meetings, preparation, and related activities.

We W.I.L.L. Thru Sports is a non-profit athletic organization providing high-quality affordable programs for youths in collaboration with our community-based partners throughout the Greater New York Metropolitan area.

Description

While reducing the amount of time youth spend unsupervised at home and on the street, We W.I.L.L. Thru Sports is working to promote positive peer relationships, teamwork, and sportsmanship. We are teaching youth to adopt a healthy lifestyle through sports activities and expose youth to a variety of successful sports professionals, teach valuable life lessons, encourage and expose them to the idea of valuing higher education.
