Reporting to the Executive Assistant to the CEO and the CEO, Virtual Administrative Assistants will provide administrative and clerical support to assist with effective operations of the Executive Office of AADA and manage or support special projects. This role requires the ability to exercise discretion and take independent initiative. This role utilizes online communication channels, such as internet, dropbox, phone, e-mail, text and others to deliver information to donors, partners, volunteer staff, and others. Duties and Responsibilities Preparing and editing documents and correspondence (memorandums, email responses, letters, reports, instructional documents, outreach materials, donation requests, etc) Prepare PowerPoint/Canva presentations, graphics Data entry Simple research (background information on potential grantors, partnerships, events, etc) Assist with grant application research as needed Creating and maintaining organizational systems (primarily using Google Suite: Gmail, Sheets, Docs, Calendar, Forms) Assist with managing accounts and calendars Scheduling and coordination of meetings and events Assist with social media needs Assist with creating and distributing the newsletter Assist with website maintenance as needed Other administrative tasks as assigned Skills and Specifications Proficient in computer applications such as Google Suite, Microsoft Suite, Canva Ambitious, a self starter Intuitive Ability to work well with others and to complete work with minimal supervision Excellent written and verbal communication skills Exceptional organizing and planning skills Ability to understand, and execute complex written and verbal instructions Able to maintain confidentiality Able to react calmly, effectively and keep composure under pressure Able to deliver excellent customer service, externally and internally Ability to meet close deadlines Preferred Education and Qualifications College degree or working towards a college degree from an accredited institution At least 1 year experience in administrative functions At least 1 year Customer Service experience All applicants must be current residents of the United States.

The successful candidate will be a motivated and creative individual who takes the initiative and is passionate about helping us reach our goals. AADA is currently building out its fundraising operation and will need the help of experienced fundraisers to help create a strategic strategy for the organization. Primary responsibilities/ Assisting with: * Developing and executing fundraising campaigns and initiatives to meet organizational goals * Research and identify new potential funding sources * Manage relationships with donors and sponsors * Assist with event planning and logistics, including volunteer recruitment * Track and analyze fundraising results * Develop and maintain accurate records of donations and other related activities Qualifications: * Strong interpersonal and communication skills * Ability to work independently and as part of a team * Demonstrated organizational and problem-solving skills * Knowledge of fundraising best practices * Knowledge of Microsoft Office Suite * Experience with customer relationship management (CRM) software ( not needed at the moment) This is an unpaid volunteer position. The Volunteer Event Coordinator understands promotion and marketing techniques and practices to create and execute successful in-person or virtual events that further AADA's fundraising programs and initiatives. Job Duties -- Plan events from start to finish according to the target audience, stated objectives and established budget. --Act as a liaison to community groups, faith-based organizations, other nonprofits and relevant vendors. --If applicable, provides event coverage. --Oversee the development of event programs, agendas, and other related materials. --Arrange for and manage all logistical elements of the event including, but not limited to, site research and selection, audio/visual management and speaker participation. The African American Diabetes Association is seeking volunteers with experience in social media creation and management (beyond personal social pages) for our AADA website and social media platforms. People interested in this role should have bold, creative and outgoing personalities. Additionally, this role is great for people who are looking to build their resume; engage in great, new experiences; help African American diabetics with their complications; and/or learn more about diabetes and its impact and comorbidities. Knowledge and understanding of technology issues affecting not-for-profit organizations is preferred. We are looking for dynamic volunteers to create a strategic plan for marketing and engagement and subsequently facilitate regular social media interactions across Facebook, Instagram, Twitter(X), Tik Tok and LinkedIn. The Social Media Coordinator will manage conversations and touch points that occur with our social media followers and donors across all channels, with the goal of facilitating growth, awareness, funds, and retention. The Social Media Creator/Coordinator will: Create engaging, yet educational content about diabetes and how it impacts the African American community specifically; particularly targeting youth and middle aged demographics (ages 12 - 24) Conceptualize and create visually appealing graphics, images, and videos Stay informed about each platform's features, algorithms, and best practices Monitor and respond to social media trends, industry news, and audience feedback Like, comment, and/or respond to our followers across all social media platforms Like, comment, and/or respond to other posts from like-minded organizations on all social media platforms Research and follow other like-minded charities, relevant local, state, and federal entities, Non-Governmental Organizations, etc Encourage supporters to leave positive reviews Encourage volunteers and donors to share AADA’s content Report issues to the Executive Assistant, CC the CEO Send targeted private messages during fundraising campaigns and to thank donors Monitor monthly engagement rate and modify strategic plan accordingly This role is expected to be generally accessible to the Executive Team and responsive to emails.
