Flatbush Cats is seeking an organized detail-oriented individual to join our rescue team as a volunteer Administrative Coordinator.
Part time: Approximately 5-10 hours per week
Fully Remote
FLATBUSH CATS BACKGROUND:
Flatbush Cats is a 501(c)(3) nonprofit working to end shelter euthanasia by reducing the outdoor cat population in Brooklyn, NY. We focus heavily on TNR and providing affordable, accessible spay/neuter services as well as rescue.
To maximize impact with limited resources, we currently provide targeted, grassroots TNR and rescue support services in 4 zip codes across Flatbush and East Flatbush, an area with over 300,000 residents. We provide training, project and resource support for a growing team of TNR, rescue and foster volunteers.
Our goal is to build an effective, scalable community cat program that can expand to serve other parts of Brooklyn and beyond, in partnership with local TNR and rescue groups.
ROLE DESCRIPTION:
The Rescue Program Administrative Coordinator will play a significant role in supporting the organization’s success by maintaining up-to-date medical records for all foster cats and kittens in the program as well as providing administrative assistance to the Foster Team Lead and Director of Community Programs.
SKILLS REQUIRED:
Excellent communication, recordkeeping and computer skills. Mature, reliable, organized, and detail-oriented. Knowledge of Google Suite and Slack preferred, familiarity with AirTable software helpful, but not required. Ability to treat all people with respect, compassion and professionalism. Will report to the Foster Team Lead with oversight from the Director of Community Development. Training provided.
DUTIES:
- Upload medical records from vet and clinic appointments on a same-day basis when received
- Input data from medical records to cloud storage and into an Airtable database
- Manage and track vet invoices and reports on program costs
- Manage vaccination and testing records for foster cats in Airtable
- Provide reports as needed on outstanding medical needs
- Input and update microchip records
- Using the calendar of medical appointments, send calendar invitations and assist the Transport Coordinator in organizing transportation as needed
- Maintaining Shelter Animals Count data
- Create and maintain slack channels for each foster case
- Create and maintain treatment calendars for foster cats
