Position Title: Personal Assistant Party Coordinator
Overview:
We are seeking a dedicated Personal Assistant Party Coordinator to help organize and execute our Annual Christmas Party for homeless children. This role is essential for ensuring that the event runs smoothly and meets our mission of providing a joyful holiday experience for keiki in our community. The ideal candidate will have strong organizational skills, a passion for service, and the ability to work collaboratively with volunteers and team members.
Duties and Responsibilities:
Event Planning Support:
- Assist in the overall planning and organization of the Christmas Party.
- Help coordinate with donors, volunteers, and partners to ensure all aspects of the event are covered.
Communication:
- Serve as a point of contact for volunteers and team members, providing updates and answering questions. (most of the time this is via email, or social media)
- Facilitate communication between myself and the volunteers and donors to ensure everyone is informed and aligned.
Volunteer Coordination:
- Help confirm schedules, and manage volunteers for various roles leading up to and during the event.
- Organize volunteer training sessions and ensure all volunteers understand their responsibilities. This is at the Party, I will give the orientation, just need you to assist.
Logistics Management:
- Assist in arranging the logistics for the event, including setup, decorations, supplies, and cleanup. all online or phone until the party
- Maintain a checklist of tasks and timelines to ensure all elements are completed on schedule.
On-Site Support:
- Provide hands-on support during the event, helping to manage various stations (games, crafts, food, etc.) as needed.
- Troubleshoot any issues that arise on the day of the event to ensure a seamless experience.
Expectations:
- Commitment: Be available for pre-event meetings via phone, text or email, coordination, and on the day of the event from setup to cleanup. I could possibly meet with you a day or so prior to assure we are both together on this.
- Team Player: Collaborate effectively with the event planning team and volunteers, fostering a positive and supportive environment.
- Detail-Oriented: Pay attention to details in planning and execution to ensure the event runs smoothly and professionally.
- Positive Attitude: Approach challenges with a can-do attitude, creating a fun and festive atmosphere for all involved.
- Communication Skills: Demonstrate excellent verbal and written communication skills to effectively coordinate with team members and volunteers.
