Position Overview:
The Coordinator/Project Management Assistant will play a key role in supporting the organization’s project management, beneficiary liaison, and recruitment efforts. This volunteer position involves overseeing project timelines, coordinating tasks, and ensuring the smooth execution of various projects. You will work closely with the Executive Director and other team members to manage projects effectively, liaise with beneficiaries, and assist with recruitment activities.
Key Responsibilities:
- Project Coordination: Assist in planning and coordinating various projects, ensuring that tasks are completed on time and within scope.
- Task Management: Use tools like Monday CRM and Asana to track project progress, assign tasks, and update timelines.
- Communication: Facilitate communication between team members, stakeholders, and external partners to ensure project goals are met.
- Documentation: Maintain and organize project documentation, including project plans, status reports, and meeting minutes.
- Resource Management: Help manage resources and logistics for projects, including scheduling meetings, coordinating with vendors, and handling any required materials.
- Beneficiary Liaison: Engage with beneficiaries to understand their needs and provide support, ensuring they have access to services and resources. Address any concerns or feedback they may have.
- Recruitment Support: Assist with recruitment efforts by posting job listings, screening applications, coordinating interviews, and managing onboarding processes.
- Progress Tracking: Monitor project milestones and deadlines, providing updates and reports to the Executive Director and relevant stakeholders.
- Problem Solving: Identify and address potential issues or roadblocks in project execution, proposing solutions to keep projects on track.
Qualifications:
- Previous experience in project management, coordination, beneficiary liaison, or recruitment is preferred, but not required.
- Proficiency in Monday CRM, Asana, and Slack for project management and team collaboration.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to multitask, prioritize, and manage multiple projects simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
- A proactive attitude and willingness to contribute to a collaborative team environment.
