Overview: As a Finance Assistant, you’ll support the financial operations of our organization. Your work will contribute to transparent financial reporting, compliance, and efficient resource utilization.

Roles and Responsibilities:

1. Bookkeeping and Record Keeping:

   • Data Entry: Accurately record financial transactions (e.g., donations, expenses, grants) into accounting software or spreadsheets.
   • Bank Reconciliation: Assist in reconciling bank statements with financial records.
   • Maintain Ledgers: Keep track of accounts payable and receivable.

2. Expense Management:

   • Invoice Processing: Review and process invoices, ensuring timely payments.
   • Expense Tracking: Monitor organizational expenses against budget allocations.
   • Petty Cash: Manage petty cash funds and maintain proper documentation.

3. Financial Reporting:

   • Prepare Reports: Assist in generating financial reports (monthly, quarterly, annually).
   • Budget vs. Actual: Compare actual spending to budgeted amounts.
   • Grant Reporting: Support grant-related financial reporting requirements.

4. Assist in Budgeting:

   • Budget Preparation: Collaborate with the finance team to create annual budgets.
   • Budget Monitoring: Help track budget performance throughout the year.

5. Compliance and Documentation:

   • Audit Preparation: Gather necessary documents for audits or reviews.
   • Legal Compliance: Ensure adherence to financial regulations and reporting requirements.
   • Maintain Files: Organize financial documents and maintain an organized filing system.

6. Collaboration:

   • Teamwork: Work closely with the finance team, Executive Director, and other staff members.
   • Communication: Provide financial updates as needed.
   • Problem-Solving: Assist in resolving financial discrepancies.
