Whether you have a little or a lot of time, we have creative ways you can help! Adoption STAR is celebrating its twenty fifth year helping children find their "forever families." On Saturday, May 17, 2025, Adoption STAR will be holding a gala celebration at Hotel @ Lafayette in Buffalo, NY. The event is designed to celebrate the agency, honor adoptees, birth parents, and adoptive parents, and to recognize other important individuals who have made the agency’s first twenty five years a success. We are seeking individuals who are personable, friendly, and passionate about our cause! Volunteer opportunities include:
1. Event Setup
A team of volunteers dedicated is needed for event setup. Volunteers are needed to arrange centerpieces, and distribute signage throughout the venue.
2. Check-In
Volunteers needed at the event’s entry point where you will be responsible for:
- Facilitating check-in. Find attendees within our event check-in software and mark them as present.
- Distributing name badges and table assignments. Distribute badges and table assignments to attendees so they can immediately start building connections.
- Providing event materials. Hand out event booklet and event technology instructions.
3. Welcome Committee
Welcome committee volunteers are friendly and sociable so to make a good first impression on attendees. After attendees are checked in, they may need help navigating the venue and finding the activities they’re most interested in. A welcome volunteer will give directions and provide general assistance throughout the event.
4. Auction Coordinator
Auction coordinators may facilitate the auction by:
- Setting up item displays
- Manage raffle ticket sales
- Monitoring the bidding process
- Enforcing auction rules
- Helping winners claim prizes
5. Tech Support
A dedicated, tech savvy volunteer to ensure everything runs smoothly. You will familiarized with all relevant frontend features, and will be shown how to resolve any issues in the backend.
6. Social Media Team
Social media-savvy volunteers are needed to promote the gala before, during, and after your event:
- Before. Pre-event promotion is all about encouraging supporters to register and building anticipation among attendees. Post engaging infographics that explain relevant event details, such as the date, time, location, activities, and purpose of the event. You may also use sneak peeks of the venue and event setup to pique interest and drive more sign-ups.
- During. Document the gala and post important updates in real time. Interview attendees about their experience, record snippets of the auction, or snap photos of guests interacting with each other to share on social media profiles.
- After. Once the gala is over, remind attendees of their incredible experience by posting photos and videos of the event.
7. Guest Relations
A guest relations volunteer will provide personalized assistance to sponsors. These volunteers may also work with VIP guests and major donors. Ultimately, guest relations volunteers ensure guests who have shown unwavering support for our cause have all their needs met and expectations exceeded throughout the gala.
Their responsibilities may include:
- Escorting guests to their reserved seating areas
- Answering questions
- Addressing concerns
- Facilitating networking opportunities
- Providing accessibility support
- Soliciting feedback
- Expressing gratitude
8. Cleanup Crew
After the gala comes to a close, the cleanup crew assists with returning the venue to it’s original condition. i.e. Gather up everything that was brought in.Staff at the venue is responsible for the actual clean up.
